Facilities Manager

The Facilities Manager will be responsible for the overall management of office facilities, ensuring a safe, efficient, and well-maintained working environment. 

 

This role involves building collaborative relationships with key internal and external stakeholders to maintain high office standards, identifying and implementing necessary improvements.

 

The Facilities Manager will ensure the office environment across both UK sites of our Head Office and Distribution Centre are cohesive.  Leveraging their close understanding of our business direction to capitalise on shaping the facilities landscape, strengthening our employer branding, employee experience and championing the creation of an inclusive environment.

 

The role is an 18 month Fixed Term Contract on 4 days per week (30 hrs). 
 

Your Tasks

Team lead:

  • First level contact to steer and support team member queries.
  • Ensure positive impact for team engagement and overall wellbeing.
  • Assess training and development needs of the team, prioritizing trends and needs within budget.

Maintenance and Repairs:

  • Oversee the maintenance and repair of buildings, equipment, and systems.
  • Ensure that facilities are in good working order and comply with safety regulations.
  • Oversee Catering, Cleaning & Security

Budget Management:

  • Develop and manage the facilities budget.
  • Monitor expenses and find cost-effective solutions for maintenance and repairs.
  • Demand owner for all office tenders, partnering with procurement


Vendor Management:

  • Negotiate contracts with vendors and service providers.
  • Supervise the work of contractors and ensure quality standards are met.

Health and Safety:

  • Ensure overall safety standards of the building are maintained and communicated in line with best practice.
  • Conduct regular safety inspections and risk assessments.
  • Monitor and maintain a trained number of health and safety and fire marshals
  • Conduct regular inspections of the office to ensure compliance with health and safety standards.

Sustainability:

  • Implement sustainable practices to reduce energy consumption and waste.
  • Promote environmentally friendly initiatives within the facility.

Emergency Preparedness:

  • Develop and implement emergency response plans.
  • Coordinate with emergency services and conduct regular drills.

Employee support

  • Act as the primary point of contact for employees regarding office-related concerns.
  • Provide support for the organisation of office events such as company meetings (performance townhalls), trainings, external visitors, including the set-up and re-set of the office space.


Digitalization:

  • Use an inquisitive mindset to seek ways to unlock smarter ways of working, providing time and cost saving outputs.

Your Profile

  • Proven experience in office management or facilities management.
  • Sound knowledge of health and safety legislation.
  • Effective leadership skills to manage team of direct reports.
  • Ability to work independently and as part of a team.
  • Exceptional interpersonal skills.
  • Proactive and solution-oriented mindset.
  • Strong time management with multitasking ability.
  • Strong attention to detail and problem-solving skills.
