Your Role


Are you ready to take on a dynamic role in an international environment? Beiersdorf NV with its approximately 100 dedicated employees in The Netherlands is seeking a Management Assistant for a full-time position (40 hours/week). This opportunity starts with a limited contract for one year, with the potential to become a permanent position.

As the Management Assistant, you'll be the backbone of our team ensuring seamless organization and connection across our vibrant workplace. While providing management assistance to our Country Manager and Management Team and taking care of professional office administration, you will report directly to the HR Manager BNL and become an integral part of our HR team in the Netherlands. Our HR team includes an HR Business Partner, an HR Specialist, a Payroll & Compensation & Benefits Specialist, and a Facilities & Prevention Officer.

Your Tasks

Management Assistance:

  • Provide administrative support to the Country Manager and Management Team including calendar management, travel arrangements, and meeting coordination
  • Provide support in language checking, formatting larger documents and prepare reports for the Management Team as required
  • Assist in organizing company meetings and events, e.g. townhall and HQ visits, ensuring coordination, logistical arrangements and catering
  • Prepare and distribute internal communications as required
  • Maintain accurate records and documentation related to management activities and IT systems from our departments.

HR Support:

  • Schedule Works Council (OVV) meetings, prepare agenda and facilitate necessary arrangements
  • General assistance, e.g. recruitment interview logistics, room bookings for trainings, standard communications.

Facilities Support, mostly in absence of Facility & Prevention Officer:

  • Monitor and manage office supplies, ensuring adequate stock levels and cost-effectiveness
  • Coordinate with external vendors
  • Create purchase orders and answer as reception front desk (telephone, e-mail)
  • On-site facility support: maintain kitchen and grocery orders, oversee office facilities maintenance, fetch mail and parcels from the building’s mail room.

Your Profile

  • Minimum MBO4, HBO bachelor or equivalent experience
  • Minimum 3 years of work experience as management/executive/personal assistant, preferably in an international corporate environment
  • Work experience in facility management is an advantage
  • Full language proficiency in Dutch and English is a must!
  • Full proficiency in Microsoft Office 365 (MS Teams, MS Sharepoint, apps like MS Forms, MS Decisions, etc )
  • Strong organizational abilities and abilty to prioritize with the right attention to detail
  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels
  • Ability to work independently and collaboratively in a fast-paced environment
  • Is committed, shows initiative and takes ownership
  • Ability to be present at the office every day, with possibility to work incidentally from home when required.
